The policy explains what information we collect, for what purposes, on what legal basis, who we share information with, how long we store it, and what rights you have. When we base processing on consent, it is freely given, specific, informed and unambiguous, as defined in GDPR Article 4, no. 11, and can be withdrawn at any time without consequences for the agreement.

3.4 Newsletter to Guests
When you subscribe to our newsletter, we process your email address and any preferences you provide. You can unsubscribe at any time via the unsubscribe link at the bottom of each newsletter or by writing to data@sologstrand.dk. Unsubscribing does not affect previous mailings but stops future ones.
To Guests: We only send marketing based on your consent. When you subscribe to our newsletter, we process solely your email address and any preferences you provide to send you relevant offers and information. Processing of this data is done to send marketing, offers, and newsletters. The processing is based on your consent pursuant to GDPR Art. 6(1)(a).
3.5 SMS – Communication
To ensure your stay is as smooth as possible, we use SMS to send you important practical information.
We use SMS as a channel for guests. Purpose and legal basis depend on your role and the type of message. Guests receive automatic operational SMS messages related to their stay, while marketing SMS are only sent with separate consent.

3.6. Surveys and Feedback
All surveys are voluntary and can only be completed at your own choice. Your feedback is stored for up to 5 years as documentation for our quality work. You can always request to see the feedback you have given us.

3.7. Social Media
When you visit Sol og Strand's profiles on social media (including Facebook, Instagram, Pinterest, and Google My Business), we may process the personal data you have made available via your settings on the relevant platform, such as your reactions to our posts, shares, comments, or messages to us.
Purpose: The processing is done to market Sol og Strand, communicate with users, respond to inquiries, administer contests, and understand users' engagement with our content.
Legal Basis: The processing is based on our legitimate interest in marketing Sol og Strand and interacting with users on the platforms where they choose to follow us, pursuant to GDPR Art. 6(1)(f).
Joint Data Responsibility: Sol og Strand and the relevant social media platform are in certain cases considered joint data controllers for the processing of your information in connection with visits to our profiles. This applies, among others, to Facebook and Instagram, where the distribution of responsibility is set out in Facebook's “Page Insights Controller Addendum”.

5. Profiling, Automated Decisions, and Objection to Marketing
We use analyses of your behavior on our websites and in emails to customize content and ads so you see more relevant offers. This is profiling in the sense of GDPR, but it does not lead to automated decisions that have legal effects or similarly significant impact on you.
Profiling includes only analysis of behavior for marketing purposes and gives you the right to human intervention if necessary, pursuant to Article 22(3).
Profiling for marketing is only done if you have given consent to the relevant cookies or to receive emails. You have the right at any time and without reason to object to the use of your information for direct marketing, including profiling for this purpose. You exercise this right by using the unsubscribe link in each newsletter, changing your cookie preferences in the consent banner, or by writing to data@sologstrand.dk.
6. Recipients and Categories of Recipients
We only share personal data when it is necessary and relevant in relation to the stated purposes. Our bookkeeping, auditor, and relevant public authorities, including the Tax Administration, receive information to the extent required by law. Tryg Insurance receives as an independent data controller necessary information if Tryghedspakker or relevant insurance products are chosen. Service partners such as cleaning, craftsmen, and key delivery receive practical information necessary for cleaning, maintenance, and access to holiday homes.
Data processors that provide analysis, surveys, and marketing automation process information on our behalf according to instructions and may not use them for their own purposes. With all data processors, we have entered into data processing agreements that establish security, confidentiality, and our instructional authority.
In connection with cleaning of holiday homes after guests' stays, we use Mobaro, which is a digital system and app that supports planning and quality assurance of cleaning and maintenance. In this connection, necessary information about the holiday home's address, is shared with Mobaro. The information is used solely for coordination of cleaning tasks and quality assurance in relation to the specific holiday home and is deleted when the purpose is fulfilled.
In case of damage reports or cases involving insurance handling, we forward the policy number as well as possibly name, phone number, and email to Tryg Insurance as an independent data controller.
In cases where craftsmen, cleaning staff, or other service providers are used in connection with operation, maintenance, or service – on behalf of a guest – necessary contact information such as name, phone number, and possibly email is shared with the relevant business partner. The sharing is done only when necessary to perform the relevant task in a responsible manner.
When you, e.g., via a link from us, rate us and our services on TrustPilot, information about your name and customer number is forwarded to TrustPilot to verify your customer relationship with us. When you write in our guest book, you can actively choose that your name may be published on the website.
These companies act as data processors under our instructions and may not use the information for purposes other than providing their services to us.
We have entered into written data processing agreements with all data processors that establish requirements for confidentiality, security, and limitation of purpose.
7. Storage and Deletion
We only store personal data as long as necessary for the purposes or to fulfill legal requirements. Information from bookings and completed rentals is stored as a starting point for five years after the end of the calendar year in which the stay is completed, for the sake of bookkeeping obligations and limitation and prescription rules. Accounting material is stored for five years from the end of the financial year it concerns, according to the bookkeeping law. Newsletter data is processed until you unsubscribe via the unsubscribe link or withdraw consent in another way.
When the storage period has expired, data is deleted or anonymized unless legal requirements dictate continued storage. You can request deletion at any time unless applicable law prevents this.
8. Obligation to Provide Information and Consequences of Omission
When information is necessary to enter into or fulfill an agreement, for example in connection with a booking, we cannot provide the service if the information is not provided. Information required by law must be provided for us to fulfill our legal obligations.
9. Your Rights
You have the right to access the personal data we process about you, and you can get a copy. You can demand incorrect information corrected. You can in special cases have information deleted before our general deletion deadlines. You can in certain cases have the processing restricted so the information is only stored. You can object to processing based on our legitimate interests, and you can at any time and without reason object to direct marketing, including profiling for this purpose. You can request data portability for information you have provided yourself, and which we process based on consent or contract, and which is processed automatically. If the processing is based on consent, you can withdraw it at any time via the unsubscribe link in newsletters or by contacting us. Withdrawal does not affect the lawfulness of processing before the withdrawal. When you exercise your rights, we may ask you to document your identity to ensure that information is not disclosed to unauthorized persons. Inquiries are sent to data@sologstrand.dk, and we respond as a starting point within 30 days.
10. Data Security
We have appropriate technical and organizational measures that protect personal data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. We implement data protection through technology design and by default (data protection by design and by default), including data minimization and pseudonymization, pursuant to Article 25.
Access is limited to employees and business partners with a relevant need and is regulated by confidentiality obligations. We continuously review our security level and processes.
